What can I report to Ingka Group Trust line?

You can raise a concern about workplace related misconduct connected to Ingka Group and breaches of relevant EU laws and regulations.

You are encouraged to report any breach of EU lawoccurringin Ingka Group in the field of:

• Public procurement
• Financial services, products and markets, and prevention of money laundering and terrorist financing
• Product safety and compliance-Transport safety
• Protection of the environment-Food and feed safety, animal health and welfare
• Public health
• Consumer protection
• Protection of privacy and personal data, and security of network and information systems.

Who can raise a concern?

• Ingka Group employees (whether full –time, part-time workers or fixed term).
• Persons with a contract of employment or employment relationship with a temporary work agency that provides services to Ingka Group.
• Candidates for employment or persons seeking to provide services to Ingka Group-Self-employed persons, freelance workers, contractors, sub-contractors and suppliers providing services to Ingka Group.
• Shareholders and persons in managerial bodies of Ingka Group.
• Individuals whose work-based relationship with Ingka Group has ended.
• Volunteers and paid or unpaid trainees working for Ingka Group

How can I raise a concern about suspected breaches of EU law?

You can always decide to raise your concern with the legal entity in the country to which your concern relates. If this is not appropriate, or you do not feel comfortable doing so, you can raise your concern with Ingka Group’s Trust line.

1. Click on the button “Raise a concern to Ingka Group”
2. Click on the flag that corresponds with the country of your concern
3. Enter the access code that is displayed
4. You will be provided a unique case number
5. Write down your unique case number and keep it for future reference.
6. Leave your concern in the text field. Remember to include as many details that are relevant to your concern (typically the What, Where, When, Why and Who questions)
7. Check back in a week to read a response to your message.

What will happen after I have raised a concern?

• Your concern, including your identity, if you chose to reveal it, will be shared with the Trust line managers, and if further investigated, it will also be shared with the persons responsible for the investigation/follow up.
• Every concern raised through the Trust line is evaluated by using the four eyes principle, by the Trust line managers, who are Ingka Group employees that have been appointed and specifically trained for this role.
• Within a week from raising your concern, you will receive a reply from a Trust line manager with information about if and how your concern with be handled.
• Ensure that you log back into the Trust line using your unique case number to check for a reply from the Trust line Managers.

Can I raise my concern anonymously?

In most countries, you can remain anonymous when raising a concern.

You are not required to reveal your identity and as your message is transferred through an external supplier, nobody in Ingka Group will be able to track your IP-address.

However, keep in mind that concerns that are addressed anonymously are less powerful.

Who is involved in the handling of my concern?

The general principle for handling concerns is to involve as few persons as possible. The persons involved in handling the concern are bound by confidentiality. The Trust line is managed by Ingka Group Business Risk Management and Compliance.

The manager who will be appointed as responsible for the follow-up of the concern will be operating in the concerned organization on at least one level above the level from which (or in relation to which) the concern was raised.

How does Trust line keep my message confidential?

Trust line is set up in accordance with strict internal and external requirements, regarding among other things information security and data privacy. Through our external supplier – People Intouch – the anonymity of reporters and confidentiality of their report is secured.

Can reporting a concern negatively affect me?

In Ingka Group we encourage speaking up about suspected misconduct.

• Reporters are always protected when they raise a concern and raising a concern in good faith should not negatively affect you in any way.
• We do not tolerate any form of threat of other type of retaliation.
• We consider retaliation against reporters a breach of our Code of Conduct, and consequently may lead to (disciplinary) measures.

Note that you are not protected if you maliciously raise a concern that you know is false.

How do you process my data?

Ingka Services B.V. is responsible for the Ingka Group Trust line, thus for the processing of your report as well as your personal data. According to applicable data protection legislation, you are entitled to access your records for free once every calendar year. You can arrange to do so by making a written request to the “Data Protection Officer”, Ingka Services B.V, Bargelaan 20, 2333CT Leiden, The Netherlands. The request shall be duly signed by you and sent by ordinary mail. Accordingly, you cannot request access to your records by e-mail.

You are entitled to request immediate correction, blocking or erasing of such personal data that has not been processed in accordance with applicable data protection legislation.

Some personal data may be processed and transferred, both within and outside the European Economic Area, to Ingka Group entities. It will always be ensured that this is done in compliance with data protection laws.
