Privacy notice for IKEA Home

1. ABOUT THIS PRIVACY NOTICE 

We know how important it is for you to understand how we use your data, and we will always do our best to be transparent with you.

This Privacy Notice covers how and why we collect, store, process and share any of the personal data you provide us when you use the home improvement service marketplace (“IKEA Home”) made available to you in the IKEA Home mobile app to find or offer home services that create a better everyday life for the many people.

This Privacy Notice also tells you what your rights are in relation to the personal data that we process about you. We respect your right to privacy and are committed to maintaining it.

The full experience of IKEA Home is only available to IKEA Family members (as consumers) and IKEA Business Network members (as professionals).

IKEA Home is available for two types of users: 

  • Professionals: are IKEA Business Network members that have been approved to offer their services on IKEA Home.
  • Consumers: are IKEA Family members who use IKEA Home to find a service provider for their home improvement projects.  

2. WHO ARE WE AND HOW CAN YOU CONTACT US?

We are Ingka Group, a franchisee of Inter IKEA Systems B.V., operating digital and physical IKEA sales channels across the world. You can read more about us at www.ingka.com.

The Ingka Group company that is data controller under this Privacy Notice is Ingka NB AB hereinafter referred to as “Data Controller” or “we”. Ingka NB AB is a Swedish limited liability company, registered with the Swedish Companies house under registration number 559487-7051, having its registered address at Älmhultsgatan 2, 215 86 Malmö, Sweden. Ingka NB AB is the operator of IKEA Home. If you would like to contact our Data Protection Officer, please send an email to [email protected].

3. PROCESSING OF YOUR PERSONAL DATA AS THE REPRESENTATIVE OR EMPLOYEE OF A COMPANY OR AS A SOLE TRADER 

When using IKEA Home as a Professional, you can do so as a:

Representative or employee of a company: a user who acts on behalf of a legal entity and whose professional identity in IKEA Home is tied to the company they represent; or

Sole trader: a self-employed freelance who provides services in IKEA Home in their own name or under a trading name.

3.1 What type of personal data categories do we process? 

The categories of data we will need from you when you use IKEA Home as a representative of a company or as a Sole trader are classified depending on your role:  

Representative or employee of a company:

  • Identifying and Professional contact data: full name, phone number, and email address.
  • Connection and browsing data: device's IP address, the device identification code, and metadata. 

Sole trader: 

  • Address 
  • Name, middle name, last name
  • Tax ID or official/national identification number 
  • Date of birth 
  • Total value of sales on IKEA Home during the current year
  • Tax beneficiary data:  if you are the tax beneficiary as sole trader professional, we will process your name and surname, ID number (National Identification Number). 
  • Billing and payment data: billing address, bank account number, and banking entity data, data necessary to issue and complete an invoice.
  • Data of payments or card data are not stored or collected in our systems; instead, the data are sent directly via the payment gateway to the specific payment service provider.

We will process your personal data for different purposes depending on your relationship or interaction with us: 

3.2 For what purposes do we process your personal data and what is the legal basis for doing so?

3.2.1 Vetting and onboarding of professionals to IKEA Home if you are a sole trader 

The information you share with us will be communicated to our partners to cross-check it with other sources of information they have available to validate its accuracy. We process your personal data based on the necessity for the performance of our contract (the Professional T&C’s), since we need to verify the accuracy of the information you share with us to review your application for access to IKEA Home.

3.2.2 Making IKEA Home available to the users

When accessing and using IKEA Home, we need to process your personal data for its proper functioning and to: 

  • Contact you via notifications or messages on IKEA Home or through other means to update you on the status of requests, inform you when a transaction has been confirmed, and communicate important information related to your activity on IKEA Home. 
  • IKEA Home offers a chat feature for you to communicate directly with consumers when managing the services they have selected or any other related issue. 
  • Manage the payment for services through our payment partner providers. 
  • Resolve any queries regarding IKEA Home through when you contact us through any of our channels (phone, email, WhatsApp, chat). 
  • Prepare and send quotes to Consumers on IKEA Home. 
  • Conduct and send quality surveys.  

If you are a sole trader, we process the personal data necessary for the use, maintenance, and availability of IKEA Home based on the necessity for the execution of our contract with you (the Professional T&C’s). If you are a representative or employee of a company, we will process your personal data based on our legitimate interest to provide you with the services.

3.2.3 For the purpose of personalised ads

If you consent to, we will process your data, and share it with IKEA Iberica, to increase engagement and conversion rates by showing ads that are highly relevant to your interests and needs. The ads will be tailored to the information we have identified from the information you have provided and your browsing activity on IKEA Home.  

We will base this processing of personal data on consent you provide us on IKEA Home.

3.2.4 For the purpose of triggering actions based on using tracking technologies

At IKEA Home, we use tracking technologies which allow us to check whether you’ve opened the notifications inbox or not, as well as other types of information such as the time of access, operating system, or the IP address from which you connect. If you wish to object to this processing, you can go to your data preferences in IKEA Home and configure them.  We use this tracking to trigger functional messages to remind you of checking your notification inbox.

The legal basis for processing is the pre-contractual relationship established with IKEA, and the execution of our contract with you (T&C’s), since some of those notification communications are needed to inform you about service requests status.

3.2.5 Analytics to gather insights and improve IKEA Home

We carry out analytics for internal purposes, to understand how we can improve our services, what we need to enhance, or how we need to act regarding our channels. We process your data in an aggregated form (i.e., in a way that does not identify you) or, where applicable, pseudonymized, to understand how you interact with IKEA Home to measure your satisfaction level and detect areas where we can improve. The processing is based on our legitimate interest to evaluate and improve our services.  

3.2.6 Tax reporting if you are a sole trader

We may need to report your identity and transactions to the Swedish tax authorities (and your local tax authority) if your total number of transactions reach the threshold set out in applicable tax legislation (implementing the DAC7 directive). We process this personal data to perform our legal obligation under applicable tax legislation (DAC7). a sole trader, we process the personal data necessary for the use, maintenance, and availability of IKEA Home based on the necessity for the execution of a contract between INBAB and your company, as outlined in the contract of the Service, which will be shared with you for signing once your application request has been approved. If you are a representative or employee of a company, we will process your personal data based on legitimate interest. 

3.3 How long do we keep your personal data? 

For the purpose of completing vetting processes of professionals before onboarding into IKEA Home if you are a sole trader: will retain your data for the period required to verify it. Once verified and the participation request in IKEA Home has been accepted, it will be retained for up to six (6) years after the account is deleted to comply with legal reporting obligations to authorities. In the case of issuing invoices, the data will be retained for up to ten (10) years due to legal obligations. If your request is denied, aggregated data will be retained, and all personal data linked to it will be deleted.  

For the purpose of using, maintaining and making IKEA Home available to its users:  we will retain the personal data necessary for the proper use, maintenance, and availability of the functionalities offered by IKEA Home as long as you have a profile created in it. Once you delete your IKEA Home profile, we will delete your data three (3) years after the last interaction. However, for tax purposes, we are required to retain invoice details and related documents such as requests for invoice duplicates or VAT refunds for ten (10) years. 

For the purpose of commercial communications: We will retain the data for advertising purposes for the same maximum period that we retain the data in your user profile, i.e., three (3) years from the last interaction. For marketing tools, the retention period is three (3) months since the moment it is provided to us.

For the purpose of triggering actions based on using tracking technologies: personal data will be retained for a maximum period of five (5) years since the moment it is provided to us.

For the purpose of conducting analytics to gather insights and improve IKEA Home: personal data will be retained for a maximum period of five (5) years since the moment it is provided to us.

For the purpose of contact information of the company, its owners, or its employees: we will retain user personal data in this regard if you have a professional profile created in IKEA Home. Once you delete your IKEA Home profile, we will delete your data three (3) years after the last interaction. However, for tax purposes, we are required to retain invoice details and related documents such as requests for invoice duplicates or VAT refunds for ten (10) years since the moment it is provided to us.

For the purpose of contacting with tax authorities when legally required if you are a sole trader: we will retain your data for tax purposes as long as we are required to retain invoice details and related documents such as requests for invoice duplicates or VAT refunds for ten (10) years since the moment it is provided to us.

4. PROCESSING OF YOUR PERSONAL DATA AS A CONSUMER

To access services offered through IKEA Home, you must be a member of IKEA Family. We will need to process the data you provided when signing up as a member, additional information linked to your profile as an IKEA customer, data generated when contracting a service or contacting a Professional via IKEA Home, and information inferred from your navigation on IKEA Home. 

When we refer to “personal data,” we mean information related to you that you have provided directly, generated when contracting a service or contacting a professional via IKEA Home, or inferred from your navigation on IKEA Home. The types of data we may request or that you may provide at some point in our relationship include:

4.1 Identifying you on IKEA Home

To use IKEA Home, we need to identify you as an IKEA Family member. We also need to identify you as a user to let you browse services, request quotations, and manage your transactions. For this we will need to process the following data elements:  

  • Email address and password
  • IKEA Family ID number
  • Country of residence/zip code 

We process your data to manage your registration as an IKEA Home user and to provide you with the services, on the legal basis of fulfilling our contract with you. We contact you to welcome you and communicate about your IKEA Home experience, based on our legitimate interest. We send notifications or messages via IKEA Home or other channels regarding the status of your requests or interactions with a Professional, on the legal basis of fulfilling our contract with you.

4.2 Services management 

When you request a service, we will process your data to provide you with a list of professionals that meet your needs, to resolve inquiries related to the operation of IKEA Home, to conduct quality surveys about the services, to provide feedback, to facilitate the communication between professionals and consumers on the chat, to proceed with payments, or to review and evaluate the services. For this we will need to process the following data elements:

  • Username
  • Chat messages
  • Rating and review data
  • First name and last name
  • Date, time and amount of purchase
  • Bank account details
  • Billing/shipping address
  • Order ID
  • Tax ID or official/national identification number 

We will process your personal data on the legal basis of fulfilment of our contract with you. 

4.3 Analytics 

We process pseudonymized data by performing analysis on user activity data to generate customer insights and helps us tailor your feed, recommend services that are relevant for you and present relevant result, and to track our performance and improve our services. For this we will need to process the following data elements:

  • Account data
  • Online interactions
  • Browsing history
  • Service preferences
  • Alerts
  • Navigation and connectivity information
  • Activity data (e.g. service requests, published services, quotation contents and searches)
  • Location data (to show services near you) 
  • Hashed email address
  • IKEA retail purchase history and transaction ID 

We process personal data for the purpose of analytics based on our legitimate interest in improving our services. 

4.4 Contact

When you contact us for technical questions about the operation of IKEA Home and provide us with your data, we may process it to manage and respond to the request or query you make or wish to make; and to contact you in relation to the request or query you make or wish to make, to provide customer support services. We also use this data to follow up on complaints and improve systems and services offered through understanding system performance and activity. For this we will need to process the following data elements:

  • IKEA Family ID number
  • Name
  • Contact information
  • Attachments (if any) of information supporting the request 

When you contact us for technical questions about the operation of IKEA Home and provide us with your data, we process it to manage and respond to your request or query; The legal basis for processing is the fulfilment of our contract with you, in some cases also the fulfilment of a legal obligation (depending on the nature of your query or request), and/or our legitimate interest in addressing the issue for which you contacted us. 

4.5 Reporting Inappropriate Content

When you are using IKEA Home, you get to interact with different Professionals via chat functionality that we facilitate. We process personal data to prevent and protect us and you from fraud and scams, to make your payments secure and to make sure that all users comply, and to help us follow up on inappropriate content. For this we will need to process the following data elements:

  • IKEA Family ID number
  • Account data
  • Activity data
  • Device and technical data, IP address
  • Location data
  • Chat messages 

The legal basis for this processing is the fulfilment of our contract with you, the fulfilment of legal obligations (depending on the nature of your report), and/or our legitimate interest in addressing the issue for which you reported to us.  

4.6 Compliance with Legal Obligations

We may process your data to comply with any applicable legal obligations. For example, obligations related to taxation, compliance with court orders, etc. The legal basis for this processing would be compliance with legal obligations, as we need to process your data to fulfil the requirements imposed by law.  

4.7 Conversational assistant

To improve your experience while using IKEA Home you have the possibility of using a conversational assistant. This is a virtual assistant that does not require registration, nor does it collect personal data. It only uses information provided by you, so we ask you not to share personal data. The virtual assistant will provide responses based on Frequently Asked Questions (FAQ) or service catalogue available. It will not access any internal IKEA database to correlate information or nurture the profile. 

To maintain the functionality of this virtual assistant we use artificial intelligence; for this reason, we implement standard security measures to protect the information the assistant handles and recommend no to share any personal data. The legal basis for this processing is our legitimate interest in improving our products, services, and channels.

5. HOW LONG DO WE KEEP YOUR PERSONAL DATA?

We keep your personal data as long as needed for the purposes set out above. When we no longer need your personal data for the intended purpose(s), the data will be deleted or anonymised so you can no longer be identified. Sometimes, we may keep certain data for a shorter or longer period of time, for business and operational reasons, or based on legal obligations.

We will process your personal data for different purposes depending on your relationship or interaction with us; the retention periods for those purposes might vary:

  • Activity on IKEA Home: we will process your personal data as long as you are an active user; however, if you stop actively using IKEA Home, we will retain your data for three (3) years until considering the account is no longer active.
  • Services management: We retain service-related data for up to three (3) years and survey data for up to twelve (12) months since the moment you provide us with that information.
  • Analytics: we will retain data for up to five (5) years since the moment you provide us with that information.
  • Contact: Once any issue has been resolved, we will retain this information for ten (10) years so we can provide you with better service if you need to contact us about the same matter in the future or if we need to contact you. 
  • Reporting Inappropriate Content: Once any issue has been resolved, we will retain this information for ten (10) years so we can provide you with better service if you need to contact us about the same matter in the future or if we need to contact you and to comply with legal obligations that might require us to keep this information. 
  • Compliance with Legal Obligations: we will retain your personal data since the moment you provide us with that information as stated by law when we have a legal obligation to do so.
  • Conversational assistant: we will retain your data for up to one (1) year since the moment you provide us with that information. 

6. WHO HAS ACCESS TO YOUR PERSONAL DATA?

We use third-party service providers (“service providers”) to process your personal data, on our behalf, and in accordance with the instructions provided by us, in strict compliance with applicable legislation, as well as this Privacy Notice.  

Service providers include, but are not limited to:

  • Third parties who provide digital services to us so that we can operate IKEA Home.
  • Third parties who help us segment and understand our customers.
  • Third parties that provide advertising and marketing services to us.
  • Third parties that aggregate and/or anonymise clickstream of behaviour on our website, app and Marketplace.
  • Companies that make our Customer Support Centre accessible via social networks and call centres. Our service providers will not transmit your data to other entities without our approval and without an applicable legal basis for such transmission. We undertake to only contract with entities that offer adequate guarantees of the implementation of technical and organisational measures to ensure the protection of your rights. All service providers will be bound by a written contract that regulates, among other things, the subject matter and duration of the processing, the nature and purpose thereof, the categories of data subjects, and the rights and obligations of the parties. 

Furthermore, we may transmit or communicate your personal data to third parties (including public authorities and governmental bodies) when necessary for the purposes of (i) fulfilling our obligations under the IKEA Family T&C’s, and (ii) complying with legal obligations. 

Lastly, if you are a Consumer, we will share your postal code with Professionals for the purpose of allowing them to make a quotation on your service request and connect with you in the chat. Any further personal data needed by the Professional to offer services to you will be collected directly by the Professional through the chat. The Professionals will process your personal data on their own behalf as independent data controllers.

7. DO WE TRANSFER YOUR PERSONAL DATA OUTSIDE OF EUROPEAN UNION?

We may transfer personal data overseas to companies within Ingka Group (where those companies share various operations and business processes with us) or to our service providers. This may require processing of personal data in a country outside of the European Union. In those cases, the transfer of your personal data has been made lawful through an adequacy decision by the European Commission or because we have secured the transfer by entering the standard contractual clauses (as approved by the European Commission) with the recipient. We will take steps to ensure that the transfer of your personal data outside of the European Union receives an adequate level of protection as it does in the European Union and if necessary, use other valid transfer tools or derogation in line with applicable data protection laws in order to protect and secure your personal data.

8. YOUR RIGHTS 

Under privacy laws, including the General Data Protection Regulation (“GDPR”), the UK General Data Protection Regulation and the Swiss Data Protection Act in force since 1 September 2023, you have several rights in relation the personal data that we hold about you.

The access, rights and controls might vary depending on your request, however, in general the following rights are available to you, unless we communicate or justify otherwise.

Access: You are entitled to gain confirmation from us about the personal data that we process about you, and, where that is the case, access to the personal data.

Rectification: You are entitled to ask us to update and amend your personal data that might be inaccurate, incomplete or outdated.

Erasure (“right to be forgotten”): You are entitled to request us to delete personal data which is no longer necessary for its purpose.

Restriction: You are entitled to ask us to temporarily or permanently restrict/stop some of the processing of your personal data.

Objection: You are entitled to at any time, object to the processing of your personal data when the legal ground for processing this personal data is our legitimate interest. In certain cases, accommodating to your request could make it impossible for us to provide you with access to IKEA Home.

Right to withdraw your consent: If we base our processing of your personal data on your consent, you have the right to withdraw your consent at any time. You can exercise this right by contacting us as set out in section 2 above. Please note that withdrawing your consent does not affect the lawfulness of the processing carried out before the withdrawal.

Data portability: You are entitled to receive a readable copy of your personal data and, if requested, have the personal data to be transferred to another service provider.

Not be subject to automated decision-making: You are entitled to not be subject to a decision based solely on automated processing, including profiling, which creates legal effects concerning you, or similarly significantly affects you.

Right to complain: You have the right to send a complaint about our use of your personal data to your local data protection authority. However, before doing so, we would of course love to hear from you and get the chance to address your concern.  

Making a complaint to your local data protection authority will not affect any other legal rights or remedies that might be available to you under law.  

We may need to request specific information from you to help us confirm your identity and ensure your right to access your data (or to exercise any of your other rights). This is to ensure your personal data is not disclosed to any person who has no right to receive it. We may also contact you to ask you for further information in relation to your request to speed up our response.

We try to respond to all legitimate requests within one calendar month. Occasionally it could take us longer than this if your request is particularly complex or you have made several requests. In this case, we will notify you and keep you updated.  

9. HOW WILL I KNOW IF THIS PRIVACY NOTICE HAS CHANGED?

As privacy regulations change and we develop our processes and services, we may make changes to this Privacy Notice. All future changes to our Privacy Notice will be updated online and accessed online with the last date of update displayed as below. If we make material changes to the Privacy Notice, we will also inform you by email.

We encourage you to review this Privacy Notice regularly for any changes. Your continued use of IKEA Home after any implemented changes or revision to this Privacy Notice shall indicate that you have been duly informed of the revised terms for processing your personal data.
