SMALAND - staffed play area for children at the entrance to a store

SRT - Smaland registration tool – self-service kiosk, a tool available to both customers and co-workers to facilitate easy check-in and check-out of our smallest customers, including co-workers' tablets
PLR - parent or legal guardian or responsible representative of the child who is at least 18 years old
ID – identification document (passport, identity card or similar document which is issued by a state institution where written name and surname and displayed photo)
- Access to SMALAND is limited to children between the ages of 3 and 9 years (access is allowed until a day before their 10th birthday) and is free of charge. Co-workers may ask the PLR to prove the child's age. PLR is required to verify the child's age by presenting one of these documents: passport, student card, library card, health insurance card, birth certificate, or any similar documents which can prove the child's age. If PLR declines to verify the child's age or doesn't have sufficient evidence, the entrance to the SMALAND will be denied.
- The child can enter the SMALAND only once per day, and the maximum length of stay of a child in SMALAND is:
- 60 minutes
- 120 minutes for IKEA FAMILY members
- 120 minutes if PLR has a confirmed appointment for any planning in the IKEA store on the same day.
- Opening hours are the same as the opening hours of the store. The last entry is 30 minutes before the closing time. Each IKEA store can decide its maximum capacity.
- For security reasons, children may only be picked up by the same person listed in their registration – the child must be check-in and check-out by the same PLR. If required, PLR must return to SMALAND immediately following an announcement through the IKEA store's public address system, SMS, or phone call. In the interests of children's safety and health, we only accept children who are healthy and free of infectious diseases, colds or minor health problems not to jeopardize other children.
- Children with disabilities or children with special needs may be accepted to SMALAND solely under the following conditions:
- SMALAND is not fully occupied - each IKEA store can decide its maximum capacity (we work with a ratio of a maximum of 1:2 with children with disabilities or special needs).
- PLR must, when checking in the child, explain to a co-worker the child's health conditions and cognitive abilities.
- A co-worker can allow PLR to come to SMALAND with the child if necessary; this person must be over 18 years old.
- PLR must be able to come to SMALAND as soon as possible if co-worker call PLR that they need assistance with the child.
- In the event of evacuation of the store, we take all children to a place of safety, and PLRs are informed about this through the IKEA store's public address system, and they will also receive an SMS. In the SMS will be written where the evacuation point will be. The PLRs must go to that evacuation point as soon as possible if it is safe to pick up their child.
- The SMALAND area is monitored by a CCTV system, and recordings may be handed to the police on request.
- In the event of injury to a child or if any assistance is needed with your child from your side, PLR is called through the IKEA store's public address system (co-workers at SMALAND are trained in and able to administer first aid). In every case, an Injury Report is written, even if PLR refuse it. IKEA also sends PLR an SMS; they must return to SMALAND immediately. Once PLR receives the SMS, they must return to SMALAND as soon as possible (maximum 10 minutes).
- Refuse entry to a child if SMALAND is at full capacity.
- Refuse entry to a child who has in his/her possession food, drink, a toy, or any other item that could jeopardize the safety of others. Co-workers have the right to decide which items cannot child take into SMALAND.
- Refuse entry to a child who is ill or has symptoms of illness.
- Refuse or expel from SMALAND if a child behaves aggressively or inappropriately in the interests of other children.
- Contact the local police if PLR fails to appear following notification through the public address system or SMS or if the length of the child's stay in SMALAND exceeds the maximum length specified in these terms and conditions.
- The PLR is required to use SRT to successfully check-in their child into SMALAND. If SRT is out of order, PLR must manually fill out the paper check-in form.
- To finish the check-in process to SMALAND, PLR must have a phone which receives calls and messages. PLR is required to input his phone number into SRT.
- PLR is required to enter his real name and surname exactly as is written in his ID into the SRT when checking in the child.
- PLR must put the child's outerwear and shoes in the numbered box and hand it over to co-workers at SMALAND.
- Any toys or dangerous items can also be left in a numbered box if they fit. Any other items which do not fit in the box cannot be left in SMALAND (personal items of child or PLR); PLR can leave these items in IKEA public lockers.
- The child is given a bracelet on hand on which co-workers write the child's name and the box number.
- By filling and signing the form in paper version or on the SRT, the PLR agrees with SMALAND safety rules and requirements and conditions (with this document).
- If PLR is an IKEA FAMILY member and would like to use the IKEA FAMILY benefit (60 minutes extra time), then PLR is required to present the IKEA FAMILY card to the co-workers at SMALAND. If PLR declines to show a valid IKEA FAMILY card, the benefit of extra time will not be granted, and PLR's child can stay in SMALAND only regularly.
- If PLR has confirmed an appointment for planning at IKEA at the same store on the same day and would like their children to stay in SMALAND for 120 minutes, then PLR is required to present the confirmation about the planning appointment.
- If PLR decline to show this proof, the benefit of extra time will not be granted, and PLR's child can stay in SMALAND only at the regular time.
- If there is no space for PLR's child in SMALAND, then the PLR with the child can virtually queue up for SMALAND. Once PLR registers the child in SRT, they need to wait for confirmation SMS that their reservation for their child is now available. IKEA will send PLR an SMS that their reservation is now available, and they have a maximum of 10 minutes to come to SMALAND. Once PLR receives the SMS, the PLR has 10 minutes to come together with the child to the SMALAND. Suppose PLR fails to arrive in 10 minutes together with the child. In that case, their reservation will be cancelled automatically, and their space will be offered next child in the queue; they will need to register in SRT and queue up again.
- For security reasons, the child can be picked up only by the person who signed the entry form and check-in the child.
- PLR is required on a co-worker's request also to present his/her ID to check that the person who checks in the child is the person who checks out the child for the child's safety.
- When check-out, the child PLR must agree by signature on the tablet (if SRT is out of order, then on check-out paper form) that PLR is taking over the child and his items in the same conditions as on check-in. If PLR disagrees with that, then the co-workers in SMALAND are always required to call the customer relations manager or daily manager IKEA on duty and check-out until then is not possible.
- If check-in/check-out verification fails, then the co-workers in SMALAND are always required to call the customer relation manager or daily manager IKEA on Duty, who need to handle the situation and take additional security steps to secure the safety of the child. Until then, it is not possible to check out the child.
- IKEA representatives can always contact the local police if it is necessary to secure the child's safety.
- If a paper form is used instead of SRT, then PLR must fill the paper form for check-out. Verification is the same as with SRT.
- With my signature on SRT (or in paper form) on check-in, I confirm that I have been introduced to the IKEA Småland safety rules & requirements & conditions. If some of the information I provided were false, I would bear full responsibility for the damage caused by this untruth information caused by this.
- With my signature, once I check-out the child, I confirm that I am taking over the child in good order, including his personal belongings
- The data controller is IKEA Česká republika, s.r.o., Skandinávská 131/1, 155 00 Praha 5, ID no. 27081052.
- The personal data of the child and his/her PLR will,
- in the event of one-off registration at SMALAND, be processed for a period of 72 hours from the visit to the area,
- permanent registration is processed for an unlimited period and for a period of no longer than 12 weeks from the most recent visit to SMALAND, and a record of the time of their visit shall be retained for a period of only 72 hours from a relevant visit.
- Camera (CCTV) records from SMALAND shall be retained for a period of only 72 hours from when they are taken.
- The personal data of the child and his/her PLR shall be processed for the purpose of the child's stay in SMALAND, the protection of his/her health and personal items, to clarify the circumstances of the child's stay in SMALAND and the handling of his/her things in the event of a complaint.
- The legal basis for processing is the contract for the provision of childcare services in SMALAND, the consent to permanent registration and the legitimate interest of IKEA in taking a CCTV record, as personal data (including CCTV pictures recorded) are necessary for the processing of any complaints or claims concerning the child's stay in SMALAND.
- The operator of the registration system for SMALAND is IKEA IT AB (Sweden), the provider of IT services and infrastructure to companies in the Ingka Group, of which IKEA Česká republika, s.r.o. is a member.
- The provision of personal data is essential for the provision of the service; children cannot be left in SMALAND without it.
- The child's legal PLR has the right to:
- access to their own and the child's personal data,
- deletion or rectification of data,
- restriction of the processing of data,
- object to the processing of data if it is being processed based on legitimate interest (CCTV records),
- portability of the data if it was provided based on a contract or consent,
- withdraw their consent to the processing of personal data for the purposes of permanent registration; this does not affect the legality of the data processing until the time of withdrawal.
