1. What personal data do we collect?
When you use our childcare service Småland, we collect personal data directly from you as a parent or guardian of the child.
The personal data we will collect from you includes your name, telephone number, address, signature, your child’s name, date of birth, and optionally any data that you submit in the free text field. Please do not submit personal data to us if you do not want us to collect it.
2. How do we use your personal data and what are our legal justifications for doing so?
We use your personal data to provide you with the Småland childcare service and to communicate with you about this service.
When you check in your child at Småland, you enter into an agreement with us regarding childcare services. It is necessary for us to process the personal data of you and your child in order to provide this service (e.g., to identify you and your child and to contact you regarding your child), and thus the legal basis for the processing is our contract.
3. Who do we share your personal data with?
We will only use your personal data for the provision of the Småland childcare service and your personal data will never be shared or sold to a third party for any other unrelated purpose. However, there may be situations where we have a legal obligation to share or disclose your personal data. This could be with law enforcement agencies or public authorities to prevent or detect crime or fulfil a legal requirement.
Group companies
The Småland platform is operated by IKEA IT AB which is another company in Ingka Group. The servers are hosted by an external service provider and are located in Europe, Asia and North America depending on where the services are provided. We may also share aggregated data with other companies in Ingka Group. We will do this to measure our childcare services and to improve and provide the best childcare services we can.
Transfer of your personal data outside the UK or EEA
Personal data collected by an IKEA company located within EEA; will not be transferred outside of the EEA or UK.
We may need to transfer your personal data outside of the European Economic Area (EEA) for example to the United Kingdom.
The UK may not have the same data protection laws as the EEA and so your personal data may not be subject to the same protections. However, in such cases, we will make sure that any transfer of your personal data to countries outside the EEA is subject to appropriate safeguards as if it were being processed inside the EEA and under the guiding principles set out in this privacy policy

You can always access your profile in our online tool and you have the right to change or update the information at any time. If you would like to obtain a copy of or delete your personal data you can do this by contacting [email protected]. We take the security of your personal data very seriously. We have implemented various strategies, controls, policies and measures to keep your data secure and keep these measures under close review. We protect your data by using encryption techniques and we use other safeguards such as firewalls and password protection. This means that your data is protected and only accessible by co-workers who need to carry out their job responsibilities. We also ensure that there are strict physical controls in our buildings restricting access to your personal data. The device used in the Småland facility does not store any personal data.
Retention of your personal data
In broad terms, we will only retain your personal data for as long as is necessary for the purposes described in this Privacy notice. This means that the retention periods will vary according to the type of the data and the reason that we have the data in the first place. Your profile data (i.e., name, home address and telephone no) is deleted at the latest 4 years after you have checked out your child from Småland.
The personal data regarding your child (name, date of birth, and any comment submitted in the free text field) is deleted at the latest 4 years after you have checked out your child from Småland.We have procedures in place regarding our retention periods which we keep under review which take into account our reasons for processing your personal data and the legal basis for doing so.
6. Changes to this Privacy notice
We may update this Privacy notice from time to time. If we make significant changes, we will let you know but please check this notice regularly to ensure you are aware of the most updated version.
