1. You can trust us

We take our customers’ privacy extremely seriously. We are committed to protecting our customers’ privacy and complying with all applicable laws and regulations concerning personal data processing and data protection. We also ensure that our customers’ personal data are kept safe and secure in all circumstances.

We need certain information about you in order to provide with the services that you request. There is more information below about how we collect and store your information, who our partners are and how you can request access to your personal data. We also explain in greater detail how we protect your privacy when we use your information.


2. Why do we need information about you?

We process your personal data with your consent and to pursue our legitimate interest to offer you our services, to manage your customer or other similar relationships with us and to fulfil our obligations in that respect, to correspond with you, to market our services and to ensure safety.

Personal data is also processed to enable and maintain the implementation of current products or services as well as to enable their further development. We collect CCTV footage of our premises to also ensure your safety.

Whenever we process your data, we strive to ensure that the processing is reasonable, justified and necessary for the purposes described in this privacy policy.


3. When do we collect your personal information?

We only collect information that is required to ensure a good customer experience and to be able to execute transactions and other interactions with customers.

Information in the IKEA Customer Registry consists primarily of information you have freely provided, or information collected from your transactions with us. You share personal information with us in various ways.

For example, we receive personal information when you: 

  • Join our IKEA Family or IKEA Business Network loyalty program, explore IKEA Family terms & conditions and IKEA Business Network terms & conditions.
  • Set up a billing account with IKEA for Business, explore IKEA for Business account terms & conditions
  • Purchase products and services from us in-store, online, or over the phone
  • Make a return or exchange
  • When you submit a complaint and as we deal with the complaint
  • Book an appointment with our planning and consultation services
  • Access our websites or use any of our mobile apps.
  • Use our in-store WiFi services or have your WiFi switched on in-store
  • Participate in an IKEA home visit
  • Set up a gift registry
  • Participate in surveys, focus groups, competitions, promotions, or certain discounts/coupons
  • Contact our customer service in-store, online or over the phone
  • Interact with us on social media (by mentioning/tagging us or by contacting us directly)
  • Interact with our websites, such as when you visit our websites on a device, enable location-based features, or click on sponsored links or third-party advertisements on our websites or on other websites and online services
  • Interact with emails we send you
  • Visit stores: IKEA uses cameras in and around its stores for security and operational purposes.
  • Use our supervised children’s play area (Småland)  

4. What kind of information do we collect about you?

The IKEA customer registry may contain the following types of information: 

  • Basic details (full name, contact information, customer/account identifier, etc.)
  • Information necessary for managing the customer relationship (account history and information about your interactions with us, payment information, information about your purchases, etc.)
  • Information generated based on your use of IKEA Oy services (such as your purchase history, location and information about how you use the IKEA website)
  • Information about your IKEA Family account (such as your membership number and the duration of your membership)
  • Information collected temporarily to arrange childcare at a Småland play area when visiting an IKEA store (such as the child’s age, information about any allergies or illnesses and the guardian’s name)
  • Camera surveillance footage and call recordings
  • Information derived from entries in our customer registry (such as profiling based on your personal attributes and past interactions)
  • Information about the device(s) you use to access our services (such as your IP address)

This list is not exhaustive. For more information about the data processing mentioned above, see section 7. ‘Do we share your personal information with others?’ and section 8. ‘What do we do with your information?’. We process your information only for as long as it is necessary for the purposes for which the data is used after which it will be automatically deleted.


5. Profiling

We may use customer profiling to enable the best possible customer experience for you. This is achieved by creating a profile that matches your characteristics as well as possible. The profile may be based on your personal attributes and your past interactions with us as well as other data points. We use customer profiling for example to target and personalize our marketing and services. The content of our marketing may be different between customers due to customer profiling and personalization of the content. Profiles are also used to support our service and product development.


6. You have the right to know what we know about you

You can contact us to request a copy of all the data we have about you. We can also provide your data directly to another company on your request in certain circumstances. We will provide your data normally within 30 days of your request.

As our customer you also have the right to request the correction and/or deletion of inaccurate, unnecessary, incomplete or outdated data and the restriction of their processing. You also have the right to object to the processing of your data in certain circumstances.

You have the right at any time to give and withdraw your consent to digital direct marketing or to refuse digital direct marketing, including profiling when it’s used for direct marketing. We will always endeavour to resolve any disagreements about the processing of your personal data directly with you. However, if you are still dissatisfied with the handling of your data, you have the right to refer the matter to the Data Protection Authority.

We will delete your information when we no longer need it. For more information about what we do with your information and how long we keep different types of records, see section 8. ‘What do we do with your information?’. Do you need to update your contact details or would you like to exercise your other rights as a data subject? 7. Do we share your personal information with others?

We never share your personal information with outside parties or for any purpose other than those specified in this document. We ensure that any personal data that we share with IKEA Oy’s partners are properly secured. We also ensure that any third parties who have access to your information keep it confidential, and that we have procedures in place to protect your information. All our third parties are obligated to comply with any applicable data protection laws and regulations.

We may share your personal information with other organisations in the IKEA Group as well as our trusted service providers and suppliers who work for us and help us provide you with the best possible customer experience.

We will only ever share your personal information with entities outside the EU/EEA if processing the data otherwise is not possible for technical reasons.


8. What do we do with your information?

Below you can read detailed descriptions of how we use your information as well as the legal basis for that use. If you want to know more about the different legal bases and about data protection in general,  you can find information on all that at the website of the Office of the Data Protection Ombudsman (link opens to new window).

8.1 IKEA customer accounts

We strive to make shopping and interacting with us effortless and to ensure we can offer you the best possible service. To make sure your experience will be the best possible, you can join our IKEA Family loyalty club or by signing up your business to an IKEA Business Network membership. Both memberships provide you with free benefits and features which ensure the best IKEA experience.

  1. IKEA Family profile. IKEA Family is open to anyone residing in Finland and over 18 years old, you can sign up for a personal membership on our website. When you sign up, you can choose if you want to receive email or text message marketing from us. If you have given your consent for marketing messages, we will personalize the content sent to you to best match your interests. The content is personalized based on the information you have provided to us when signing up, your purchase history and your interactions with our website. You can find more information about this in section 5. Profiling. As an IKEA Family member, you can access and edit the personal information in your profile and opt in and out of marketing at any time. You can save multiple delivery addresses ready to be used for orders as well as save your kitchen plans and shopping lists. Your purchases are saved in the purchase history every time you register your Family number with the transaction. We will keep your purchase history on your profile for at least 5 years after the purchase. We reserve the right to deactivate your membership and profile in case of 3 years of inactivity. Shopping lists are deleted after two years of inactivity. The legal basis for processing your IKEA Family profile data is based on your consent and the legitimate interest of IKEA. 

  2. IKEA.fi user account. It is no longer possible to create new IKEA.fi user accounts, but existing accounts continue to work as before. We nevertheless recommend that you upgrade your account to an IKEA Family profile, which has all the same characteristics and features as your old IKEA.fi user account but also provides additional free membership benefits. To upgrade, log into your IKEA.fi user account and click ‘Join IKEA Family’ on your profile page. You can edit your marketing preferences in your new profile at any time just like you could with your old user account. Your IKEA.fi user account will be deleted after 3 years of inactivity. Our legal basis for data processing in this case are your consent and the legitimate interest of IKEA.
  3. IKEA Business Network profiles are organisation-specific business accounts that can have multiple authorised users from the same organisation. Every user has their own username and an IKEA Business Network card number. The purchase history associated with the profile updates every time the user’s IKEA Business Network membership number is registered on a transaction, each transaction is saved for at least 5 years in the profile. Transactions are saved when an order is made while logged in to your profile, when registering your IKEA Business Network number on the cash line or when our IKEA Business team creates the order for you. To join the IKEA Business Network, you will need to provide the name, address and business ID of your organisation, as well as your own name and email address, which will also be your username.  You can also add your organisation’s invoicing information and up to 10 different delivery addresses, as well as your personal contact information to be used in connection with your orders or other interactions with IKEA. Any shopping lists and kitchen plans that you create while logged into the profile will be stored under your personal username. 

    You will be given an option to join the IKEA Business Network mailing list; if you join, we will send you newsletters tailored to your organisation by email. The personalization is based on information provided to us by the customer, such as the organisation’s line of business and location, the organisation’s purchase history and user behaviour on our website, if marketing cookies have been enabled. Each user is free to opt in or out of marketing communications at any time by clicking the ‘Unsubscribe’ link at the bottom of our newsletters, by changing the preferences in their personal IKEA Business Network profile or by contacting our Customer Service. 

    The person who sets up the organisation’s IKEA Business Network account will be the administrator. The administrator can invite other members of the organisation to create personal profiles via the IKEA Business Network website. The administrator will be able to see the names and titles of other users, manage their account privileges and ask IKEA Customer Service to remove user profiles. Only the administrator can delete the entire account; other users can only remove their personal usernames. The administrator will be able to view the organisation’s entire purchase history, itemised based on individual users’ card numbers. Regular users can only see their personal purchases. We reserve the right to delete IKEA Business Network profiles after three years of inactivity. Shopping lists are deleted from the profile after two years of inactivity. Our lawful bases for processing in this case are consent and the legitimate interest of IKEA.

8.2 Camera surveillance

Our stores and Planning Studios are monitored with camera surveillance to ensure the safety of our customers and staff, and to deter thieves. Signs indicating that camera surveillance is in operation on the premises are displayed prominently at entrances. We erase all surveillance footage as soon as we no longer need it and, in any case, within three months. We only share our footage with authorities for the purposes of criminal investigations or personal injury claims. Our lawful basis for processing in this case is our legitimate interest.

8.3 Payments, deliveries and assembly service

When you shop on our online store, we need to check that the payment and delivery information provided is correct. Payments to our online store are processed by trusted third parties such as ACI Worldwide, Mobilepay, Paytrail and IKANO Bank. We only keep your information until we can be sure that your payment has been verified. Our lawful bases for processing payment information are our contract with you and our legal obligations.

The order information for all IKEA orders is stored indefinitely to comply with tax legislation and to enable us to handle our obligations towards customers, for example warranty. The customer information on the order is accessed only to fulfill the order, it’s delivery, other bought services or later by the request of the customer for example to handle a return or warranty.  

To implement transport services, we forward the contact and address information you provided in your order to our transport partners: Posti, Hakonen, and A2B. Identifiable information is used solely for the purpose of transportation services or related matters, such as handling complaints regarding the transport service.

Our assembly and installation partners have access only to the personal information on the order that is necessary for performing assembly and installation services. If you order our partner’s installation service for products that we recommend attaching to the wall for safety reasons but request to leave them unattached, you must sign a waiver form via the Docusign service as proof of your request. The waiver form includes the order number for which the installation service was purchased, as well as your signature and printed name. We retain signed waiver forms indefinitely. The lawful basis for sharing information with our delivery and installation partners as well as the data processing related to those services is our contract with you. 

8.4 Interactions with IKEA Customer Service

We record calls to improve the quality of our service when you call IKEA Customer Service at (09) 3482 9400. The recording can also be used to resolve any potential disputes in a satisfactory manner.

When you call IKEA Customer Service, fill out the contact form on our IKEA.fi website, send an email, or contact us through chat or Facebook, your message, call recording, and contact log details are stored in our system. The log details include the date and time of the contact, as well as a channel-specific identifier, such as a phone number, email address, or username. Our chat service utilizes AI technology to provide useful information to you, our customer service team and AI can access your chat discussions to improve our chat service. Please only provide information that is relevant in handling your request. We delete the contact log details, messages, and recordings 6 months after the contact.

We send a feedback survey to everyone who contacts our customer service. The feedback system stores the IP address of the feedback provider (depending on the channel) and an interaction ID, which allows feedback to be associated with the contact in our system (e.g., call recording, email). Feedback, IP addresses, and interaction IDs are retained for a maximum of 14 months.

Our lawful basis for processing information in the context of customer service is either consent, our contract with you or legitimate interest.

We work with technology partners who provide services such as AI software, cloud storage, and cybersecurity. We have to share your information with these partners to provide you with customer service through these channels, our partners are not allowed to utilize your information for any other purposes.

8.5 IKEA App 

You can log into the IKEA App using your IKEA Family or IKEA user account login details. The IKEA App shows your contact information as it appears in your profile and any other saved information, such as your purchase history and shopping lists. You can also edit your profile information and create shopping lists; any information that you enter via the IKEA App will also be visible in your profile on the IKEA.fi website. We use the IKEA App to collect information about IKEA customer accounts (see section 8.1 for details) as well as certain other information that we can only get through the IKEA App. 

We will ask you separately whether you wish to save your browsing history in the IKEA App; your browsing history helps us to give you a better customer experience and personalise your IKEA App feed. You can change your preferences at any time under ‘Data settings’. We also monitor how you use the IKEA App and which devices you use to do so.

The information helps us, for example, to upgrade and improve the app. This monitoring data is strictly anonymous, we cannot identify any individuals based on it. Certain functions of the IKEA App only work if you give us access to your device. For example, the app needs to know your location to show you delivery options and to access your camera if you want to use it to scan products.

IKEA Kreativ is a feature in the IKEA App, with which you can scan and generate a 3D model of your spaces, allowing you to design your home with IKEA products. To use IKEA Kreativ, you will need to give the IKEA App permission to use the camera of your device and to be logged in to your IKEA account (IKEA Family or IKEA account). When you have taken pictures of your space according to the instructions, they will be sent to our servers to generate a scan of your space. You can save the scan of your space, or your IKEA Kreativ plans on your IKEA account, the email of your account and the identifier of your account will be saved along with the scans and plans to identify them with your account. If you delete your IKEA account, all your IKEA Kreativ scans and plans will be deleted as well. In case you haven’t opened or edited your scans or plans within 2 years, they will be automatically deleted.

8.6 Planning and consultation

If you wish to book a design consultation (opens to Finnish page) with our specialists, we will need your full name, telephone number, postcode and email address to make the necessary arrangements and check your IKEA Family membership. We will keep your information and the details of your appointment (location, date and the specialist’s name) for up to six months from the time of booking.  Any additional information that you provide in connection with the consultation, such as pictures or details about the space, will be deleted as soon as they are no longer needed to provide the service. Our lawful basis for processing in this case is your consent.

8.7 Play area (Småland) & Birthday Parties at IKEA Stores

  1. Play area (Småland)
    We ask you to fill in the information of the guardian and the children to our registration system before visiting our Småland children’s playground service. The required information includes the guardian’s name and telephone number as well as the child’s name, date of birth and information about the child's possible health conditions or medication that our staff should know. All the information used for registering the visit will be deleted automatically within 14 days after the visit. As a guardian, you can create a profile and save your information into the Småland registration system so you can easily load your information for the next visit with a pin code that you set. Children's information cannot be saved, their information needs to be submitted for each visit. If you do not use your guardian profile within 3 months, it will be automatically deleted.

    In case the registration system is out of service, we request to fill in the same information to a paper form that will be disposed of in a secure manner within 14 days after the visit.

    We need this information for security, to verify the age of the child and in case we need to contact the guardian. The lawful basis for processing this information is guardian’s consent.

  2. Birthday Parties at IKEA Stores When reserving a children’s birthday party at an IKEA store we ask you to fill in a registration form, informing us of the name, phone number and email address of the adult and the name and age of the child attending the birthday party. The form and the information contained in the form will be destroyed within 1 month after the birthday party.

8.8 Home visit interviews

IKEA conducts home visits and interviews to better understand how people live. When you sign up for an interview, we will ask you to provide your contact details and in addition some information about your home and the area you live in.

The information provided at the registration stage will be deleted one month after the interviewer’s visit. Our lawful basis for processing in this case is your consent. The interviewer’s findings from the visit itself will be fully anonymised and not linked to the information provided at the registration stage.

8.9 Registration for IKEA events

We sometimes organise events in IKEA stores that require participants to register in advance. You will need an IKEA Family profile to register. For more information about data processing in the context of IKEA Family profiles, see section 8.1 ‘IKEA customer accounts’.

When you register through your IKEA Family profile, we can use your profile information to confirm your registration and will need no further details from you. Confirmation of your registration will also appear in your profile history, which will be deleted along with your other information if your profile is deleted. Our lawful basis for processing in this case is your consent.

8.10 IKEA gift registry

The IKEA gift registry allows our customers to create gift lists to share, for example with wedding guests. The gift list can be sent by email to the guests, who can then choose a present to buy and mark it as bought on the list.

IKEA gift lists can only be created through an IKEA Family profile. For more information, see section 8.1 ‘IKEA customer accounts’.

You can select IKEA products to your list that you’d like to receive as a gift and then see which ones have been bought by the guests. Guests who purchase items online can leave a message for the gift recipient, which will appear next to the purchased item on the list. Guests who purchase items in-store can register their purchases via the gift registry link that they have received via email. IKEA Family members can create multiple lists and manage and delete lists in their profile.  They can add other administrators to the registry, who will then also be able to edit the gift list and add or remove items. The other administrators will also need an IKEA Family profile to manage the gift list.

The gift list can be shared with guests by email. The email will include a link that the guests can use to access the gift list even if they are not IKEA Family members. The guests will be able to see the title of the list, the description, the background picture, the date of the event and the items that the creator of the list would like to receive.

Gift lists are deleted from our system six months after the date of the event. The creator of the gift registry can also delete the list themselves or ask IKEA Customer Service to delete it before the six months have passed. Our lawful basis for processing in this case is consent. 

8.11 IKEA campaigns, competitions, prize draws and games

  1. Campaigns
    IKEA In Your City campaigns
    IKEA sometimes runs location-specific marketing campaigns that give customers either free delivery to their nearest Click & Collect location or a EUR 10 discount on purchases over EUR 100. Only IKEA Family members qualify for the benefit, instructions on joining and using the benefit are sent via email for those who sign up to the campaign. There is also a prize draw.To be eligible for the benefits, you will need to register your email address on the campaign website, where you can also share the benefit with others by entering their email addresses. Email addresses entered on the campaign website will only be used to send the instructions for claiming the benefit, to notify the winners of the prize draw and, potentially, to ask those who did not claim the benefit to fill in a survey after the campaign. The email addresses will not be used for marketing or any other purposes. The email addresses will be deleted from our system after 14 months. Our lawful basis for processing in this case is consent.

  2. Competitions
    Photo competition
    Only IKEA Family members can take part, and you will need to log into your IKEA Family profile to submit your entry. For more information, see section 8.1 ‘IKEA customer accounts’.The photos uploaded will be entered into the competition, and they may be featured, with the entrant’s consent, on IKEA Finland social media. The competition is subject to special terms and conditions, which all entrants must accept in order to take part. The photos uploaded will be inspected before being entered into the competition and published on the IKEA.fi website or on social media. The photos must not feature identifiable people or anything else based on which individuals could be recognised. We reserve the right to exclude photos from the competition at our discretion.The photos submitted will be linked to the entrant’s full name, email address and IKEA Family membership number based on their IKEA Family profile. Only IKEA co-workers who are coordinating the competition will have access to this information.All photos uploaded will be deleted from our system after three months, but entrants can also request to have their photos removed earlier by filling in the data protection form referred to in section 6. ‘You have the right to know what we know about you’. Our lawful basis for processing data in the context of photo competitions is consent.

  3. Prize draws
    Prize draws on the IKEA.fi website
    IKEA sometimes runs prize draws for IKEA Family members on the IKEA.fi website. To enter a prize draw, you must be logged into your IKEA Family profile to accept the terms and conditions of the draw as well as our privacy policy and to enable us to fetch the information required to enter from your profile. We run our prize draws based on information that we obtain from IKEA Family members’ profiles, including past purchases if the draw requires a purchase history, for example if the draw is meant for those who have made purchases within the last month. Only the entrants’ IKEA Family profile identification number will be entered into the system that we use to run the prize draw. No additional personal information is saved when a prize draw is entered, to inform the winners via email we will utilize the email address saved in the winners Family profile.  The entrants’ IKEA Family membership IDs will be stored in our Prize Draw System for three months after the date of entry. Our lawful basis for processing data in the context of prize draws is consent.

  4. Games
    Games on the IKEA.fi website
    IKEA can offer third party browser games on the IKEA.fi website, see section 7. “Do we share your personal information with others?” on third party data processing. Discount codes to the stores and/or the webstore and other prizes can be won by playing these games. The personal information required to play the games are used to deliver the prize and for marketing if a separate consent for that is given. This personal information includes email address, phone number, IP-address and cookie information (see more on the use of cookies in section 9. “Cookies”).

8.12 IKEA Food

1. Digital IKEA Food Vouchers Digital IKEA Food Vouchers will be sent to the email address of the recipient, we store the email address for 28 days after sending the voucher for this purpose. A copy of the sent IKEA Food voucher email is stored for 12 months after it has been sent to monitor the quantity of sent vouchers and the co-workers sending them, the information contained in these email copies are not used for any other purpose than monitoring.


9. Cookies

Cookies are small text files containing pieces of data that are sent and received by your browser when you visit websites to identify your device. The IKEA.fi website uses cookies to collect information about how people use it. This helps us to improve our website and make it more useful for our customers.

Cookies are linked to your IP address and allow us to offer you personalised content on our website and other platforms. We use both cross-domain tracking and cross-device tracking on our website. Cross-domain tracking tells us how users navigate from one website to the next. Cross-device tracking provides information about how users switch between devices. This knowledge allows us to make our content more user-friendly across different domains and devices. The data can also be combined with other sources of information, such as users’ IKEA Family profile details if the member is logged in while browsing IKEA.fi.

We use tool called Contentsquare that tracks a user’s mouse movements and clicks on a specific page of our website. We use this information to deliver a better user experience and improve the user-friendliness of our website. The data are processed anonymously, and individual users cannot be identified.

If you do not want us to track you when you visit the IKEA.fi website, you can  select ‘Reject all’ in your cookie settings. This setting disables all cookies except those that are necessary for the IKEA.fi website to function. If you have previously enabled all cookies but no longer wish to be tracked, you can remove cookies via your browser’s Internet settings and select ‘Reject all’ when asked about cookies the next time that you visit our website. 9.1 Third-party cookies

We use third-party cookies to display offers and advertisements that are relevant to you on platforms other than the IKEA.fi website. The profiling data that we use to do this are based on the content and pages that you visit. We also compile statistics on how our website is used to improve the customer experience. We use advertising features of Google Analytics on our website, which allow us to create remarketing audiences and target groups based on user behavior, demographic information, or areas of interest. We use the Salesforce Data Management Platform to collect information about users’ devices and how our website and other digital services are used. This information helps us to identify target audiences for our digital marketing communications. We identify target audiences based on, for example, personal interests (product pages visited, search history, etc.) or demographic information (age, gender, etc.). This kind of profiling helps us to show users interesting and relevant advertisements at the right time. If you would rather not be profiled in this way, you can disable targeting cookies in our cookie settings.

10. Privacy Notice for Store WIFI

This privacy notice relates to IKEA Oy (“IKEA”, “we”, “us”) collection and processing of your personal data when you use the wireless network communications services and related services and features provided in the IKEA stores (the “Wifi”). Please read this privacy notice carefully before using the Wifi.

IKEA is responsible for operating the Wifi and is the data controller for the personal data that is collected. For contact information see the beginning of this document.

Your Personal Data

When you connect to the Wifi, we collect your device’s MAC address (used to identify the device on the network) and IP address (given to your device when it goes online). We need this to get you connected and give you internet access.

Opting in (automatic login on return visits)

If you choose to opt in, we will store your device MAC address and IP Address with your consent. This will enable your device to be recognised each time you return to the IKEA store or visit another IKEA store in the same country, without the need to login on each occasion. Your personal data will be stored for three months and after this period it will be deleted permanently. If you return to the IKEA Store after this period, you will need to login again.

Use of personal data

If you opt in,  your use of the Wifi will be associated with your device  and IKEA may use such analytics to improve wireless coverage, the Wifi in general and the store design to further improve the WiFi experience. We will process your personal data based on our legitimate interest to analyse and improve the way our customers use the Wifi. IKEA will not share your MAC address or IP Address with any third party unless required to do so by law, for example upon request from law enforcement authorities.

The location of your Personal Data

As set out in the Terms and Conditions for the Wifi, IKEA is not responsible for any problems arising from visiting third party websites or using third party applications, etc. while using the Wifi.

Remember that you can refuse cookies by activating the relevant settings on your browser. You can still use the Wifi should you refuse cookies. We do not use cookies to authenticate your use of the Wifi.

We take information security seriously and have taken many steps to make sure that data is kept safe and secure. In order to prevent unauthorised access or disclosure of your personal data, IKEA have put in place suitable physical, electronic and managerial procedures to protect and secure personal data that is collected online.
