Welcome! Thank you for visiting the website of IKEA Germany GmbH & Co.KG, referred in this Privacy Policy to as “IKEA”. This Privacy Policy provides all the information you need about how we handle your personal data as well as your personal rights.
1. Data privacy is all about mutual trust at IKEA.
1.1 Partnership
We knew that we’d need important partners when we began creating a high-quality range of home furnishings at reasonable prices at IKEA – and these partners are you, our customers. We work together to help you make everyday life more beautiful while also keeping prices low and affordable for everyone. IKEA wouldn’t exist without you. This partnership also extends to the way we handle your personal data. Your shopping experience at IKEA is a collaborative experience, and IKEA is committed to working with you collaboratively on protecting your personal data.
1.2 Content
Protecting your personal data – referred to in the following simply as “your data” – matters to us at IKEA. The aim of this Privacy Policy is to explain in detail what data we collect; how and why we collect your data; when and why we delete your data; and what rights you have to your data. 2. IKEA is the data controller responsible for handling your personal data.
The party responsible for handling your personal data – referred to as the “data controller” – is IKEA Deutschland GmbH & Co. KG, Am Wandersmann 2-4, 65719 Hofheim-Wallau, represented by its CEO Walter Kadnar and registered in Munich under the number HRB 66738. 3. Anything you share with IKEA stays under our control at IKEA.
3.1 Data control
IKEA always keeps control over all data covered in this Privacy Policy.
3.2 Data processors
IKEA will only ever use carefully selected, monitored, and instruction-bound contractors (processors) to process your data including affiliated group companies subject to corresponding contract processing agreements; these processors provide specialised activities such as IT security and system control, data storage and hosting, address data control, contract processing including shipping and delivery, and services such as assembly, installation, measuring, purchasing, customer services, payment processing, service partner management, and customer communications including claims processing and marketing activities. Processors may also be affiliates of IKEA.
3.3 Data transfer
We will not transmit your data to any third party unless we are legally bound to do so.
4. When and how does IKEA process your data?
4.1 Time of data processing
We process your data when you visit our websites, register with us, purchase goods or services from us, or otherwise provide us with your data for whichever reason.
4.2 Information on data processing
We’ll tell you in advance why we’ll be processing your data, our legal justification for doing so and, if necessary, ask you for your consent whenever we collect data from you. IKEA will never process special categories of personal data such as health data.
4.3 Purposes of data processing
We will cover the purposes for processing your data processing and legal justification in section 5. below.
5. Purposes and legal basis for data processing
5.1 IKEA brochure order
5.1.1 Data processing
We’ll need your name and address to send you our IKEA brochures if we’ve agreed to send them to you.
5.1.2 Legal basis
We’ll be collecting your data according to GDPR Art. 6.1 (b) as we will need to process the data to fulfil our agreement on sending you IKEA brochures. We will delete your data immediately after sending them off.
5.2 Shopping at IKEA
5.2.1 Data processing related to shopping
If you’ve bought something from IKEA with delivery, we’ll process your name, address, phone number, e-mail address, and the delivery information for the driver if you’ve chosen truck delivery. This will include the type of building, any delivery obstacles, elevators, and floor. We’ll also need the information to contact you if necessary before concluding the purchase and settle any questions from either party, conclude a purchase contract including delivery with you, process this contract including billing by e-mail or postal service and receipt of payment, ensure smooth delivery on time, and notify you about delivery dates and any changes in the delivery that might arise.
5.2.2 Data processing related to delivery
We’ll pass your name, address, phone number, and e-mail address to the parcel and truck delivery service partners we work with as well as any order processors for them to handle the delivery and contact you to notify you of delivery and coordinate delivery with you as necessary. We may also use any mobile phone number you have given us while ordering to send you a text message when registered goods are available again, when your order number has been updated, or to notify you of delivery of you provide us with your mobile number when placing your order or otherwise contacting us.
5.2.3 Legal Basis
We’ll be collecting your data according to GDPR Art. 6.1 (b) as we will need the data to prepare a contract and its fulfilment such as in initiating a contract, fulfilling purchase and delivery contracts already concluded, and handling any requests you might have. GDPR Art. 6.1 (f) also applies here in balancing interests based on our vested interest in providing you with a smooth delivery at the best time for you and dealing with your requests in the most efficient and suitable way possible.
5.2.4 Data deletion
We will erase all of the above data collected after the statutory guarantee period expires at the latest unless applicable law allows or requires us to retain your data for a longer period.
5.3 Payment options
5.3.1 Credit card payment
5.3.1.1 Process
We’ll need your data marked with an asterisk* as required on the payment page of the IKEA website, specifically your name, postal and e-mail address, credit card number, name of the credit card holder, and the expiry date of the card if you prefer to pay for your order from the IKEA Shop Online service using your credit card as an available payment option. We’ll check the data you have entered together with the data on your order to check for improper use of the credit card or credit card payment option at an early stage, and we will still need to use the data to process the agreed credit card payment after your entries have passed the check.
5.3.1.2 Legal basis
We’ll be collecting your data according to GDPR Art. 6.1 (b) as we will need to process the data to fulfil the agreement on purchase payment by credit card.
5.3.1.3 Data storage and deletion
We will store the above data for a maximum of twenty-four months to verify the data against other credit card payments in combating fraud and abuse; we will erase the data after that period. Payment by credit card is one payment option that IKEA offers amongst a number of others that you may also choose from.
5.3.1.4 Legal Basis
We’ll be collecting your data according to GDPR Art. 6.1 (f) in balancing interests based on our vested interest in offering you effective and secure payment options, and specifically preventing credit card misuse and fraud in this case.
5.3.2 Payment using PayPal
5.3.2.1 Process
We will send the amount you owe along with your first and last name, delivery and e-mail address, phone number, and IP address to PayPal – specifically PayPal (Europe) Sarl et Cie, SCA, 22-24 Boulevard Royal, 2449 Luxembourg – for you to authorise payment to us using PayPal if you wish to use this payment method. Note that you will need a PayPal account for this payment method. PayPal also offers users that do not have a PayPal account the option to settle virtual payments using a credit card.
5.3.2.2 Legal Basis
We’ll be collecting your data required according to GDPR Art. 6.1 (b) as we will need to process your data to fulfil the agreement on purchase payment by PayPal.
5.3.2.3 Credit agencies
PayPal may also transmit data to credit agencies. The purpose of this is to verify your identity and creditworthiness. Refer to the PayPal website at https://www.paypal.com/de/webapps/mpp/ua/privacy-full for further details on data privacy at PayPal. Payment by PayPal is one payment option that IKEA offers amongst a number of others that you may also choose from.
5.3.2.4 Legal basis
We’ll be collecting your data according to GDPR Art. 6.1 (f) in balancing interests based on our vested interest in offering you effective and secure payment options, specifically preventing fraud in this case.
5.3.3 Payment using Apple Pay
5.3.3.1 Process
The Apple Pay function on your iOS, watchOS or macOS lets you pay be Apple Pay at supporting IKEA online shops, and the payment will be processed via by charging a payment card that you have previously stored with Apple Pay. The address for the Apply Pay service is: Apple Distribution International (Apple), Hollyhill Industrial Estate, Hollyhill, Cork, Ireland. Apple Pay uses security features built into your device’s hardware and software to protect payments.
You’ll need to enter a code you have previously specified and verify it using Face ID or Touch ID on your device to finalise payment. The information you provide during the ordering process and information on your order will be passed on to Apple in encrypted form to process the payment. After finalising payment, Apple will send your device account number and a transaction-specific, dynamic security code to the originating website to confirm payment.
5.3.3.2 Legal basis
We’ll be collecting your data required according to GDPR Art. 6.1 (b) as we will need to process your data to fulfil the agreement on purchase payment by Apple Pay. You can disable Apple Pay in your device settings.

5.3.4 Purchase on account – Klarna
5.3.4.1 Process
Our IKEA Shop Online service also supports payment by purchase on account where possible using Klarna (Klarna AB, Sveavägen 46, 11134 Stockholm, Sweden). Purchasing on account with Klarna involves entering an agreement with the payment service to allow Klarna to collect your personal data from IKEA; this data will include your first and last name, address, date of birth, gender, e-mail address, IP address, phone number. This information will be required to process your purchase on account together with an identity and credit check and the data necessary to process your IKEA purchase on account – number of items, article number, invoice amount, and tax in percent.
Klarna needs the data to be collected to perform an identity and credit check, create an invoice, process your payment, and process your purchase using the invoice processing method you have requested. Klarna may obtain information from the following credit agencies for the credit check:

- Creditreform Boniversum GmbH, Hammfelddamm 13, 41460 Neuss
- Riverty Group GmbH, Rheinstraße 99, 76532 Baden-Baden
5.3.4.2 Scoring
Klarna will use information from your previous payment behaviour as well as probability scores for this behaviour in the future in addition to an address check using this payment option to purchase on account. Klarna uses a scientifically recognised statistical method as a basis for calculating these scores. Klarna will also use your address data for this purpose. Refer to the Klarna privacy policy at https://www.klarna.com/de/datenschutz/ for details on how Klarna processes your data.
5.3.4.3 Legal Basis
GDPR Art. 6.1 (b) allows your data to be processed here as necessary to fulfil the agreement with Klarna on payment for your purchase on account using the Klarna service.
GDPR Art. 6.1 (f) also applies in balancing interests based on Klarna’s vested interest in offering you effective and secure payment options, specifically preventing fraud in this case. 5.3.5 Purchase on account – Ratepay
5.3.5.1 Process
You may also see the option of paying by purchase on account using Ratepay (Ratepay GmbH, Franklinstraße 28-29, 10587 Berlin). In this case, we will sell our receivable claim from your purchase to Ratepay, who will then collect the debt from you.
Payment on account using Ratepay will involve us transmitting data to Ratepay on you and your purchase. The data will include your first and last name, postal and e-mail address, delivery address if different, phone number if applicable, number of items, article numbers, and invoice amount.
5.3.5.2 Legal basis
We’ll be collecting your data according to GDPR Art. 6.1 (b) as we will need the data to fulfil the agreement with us on payment for your purchase on account using the Ratepay service.
5.3.5.3 Credit check
Ratepay will also process the data received as the data controller in performing a risk analysis and credit check to determine whether the purchase on account you have chosen with Ratepay can be processed as desired. This is because we’ll be selling our payment claim from the purchase to Ratepay, who will then be collecting it from you. Klarna may obtain information from the following credit agencies for the credit check:

5.3.5.4 Legal basis
Your data will be processed according to GDPR Art. 6.1 (f) in balancing interests based on Ratepay’s vested interest in offering you the payment option of purchase on account effectively and securely, and specifically preventing fraud in this case.
5.3.5.5 Payment collection
Ratepay will then record your date of birth to secure identification during the payment process once the risk analysis has returned a favourable result. Ratepay will also process the above data to send you a payment request by e-mail and collect payment.
5.3.5.6 Legal basis
GDPR Art. 6.1 (b) allows data processing here as necessary to fulfil the agreement with us on payment for your purchase on account using the Ratepay service.

5.4 Your IKEA online shopping profile
5.4.1 Profil data
You may also use our IKEA online shopping services with an IKEA customer profile for online shopping (referred to in the following as an IKEA online shopping profile). You will need to enter your first and last name, e-mail address, and a password to create an IKEA online shopping profile; you can also enter your mobile phone number if you want to, but this is not required. You can also include your billing address, delivery address and preferred IKEA store in your IKEA online shopping profile.
5.4.2 Log in
Your identity will be verified every time you log in, and you will only need to provide your e-mail address or phone number and password or one-time code to register. Make sure you keep your password secret to prevent misuse; it is also in your own interests to keep your data up to date. You will be responsible for all procedures initiated using your username within your sphere of responsibility.
5.4.3 Data processing
If you decide to enter into an agreement with us on an IKEA online shopping profile, we will process your data to save your plans, shopping lists, wish lists, and online shopping history (order overview), make the ordering process more simple and convenient, and fulfil your purchase orders and any delivery agreements according to 5.2, including sending invoices by e-mail. Your IKEA online shopping profile will also allow you to access your plans, shopping lists, and online shopping history (order overview) for the last five years for you to print out if you wish. We will notify you by e-mail that you can continue or complete any product search, plan, or order in the IKEA online shop that you have interrupted or cancelled.
5.4.4 Legal basis
We’ll be processing your data according to GDPR Art. 6.1 (b) as we will need the data to fulfil our agreement for your IKEA online shopping profile.
5.4.5 IKEA e-mail news
You can also agree to receive news from IKEA by e-mail.
IKEA News by e-mail includes:
- E-mails with special information, offers, and promotions for IKEA Family members as well as any that match your purchases in the IKEA online shop.
- E-mails inviting your feedback. Agreeing to receive our IKEA News by e-mail allows us to analyse whether and what you read or click on while reading your IKEA News to make it even more attractive for you and to create customer groups as well as special offers for these groups. Your consent to using marketing cookies on our cookie banner will allow us to display matching customer group-specific offers for you on other websites.
5.4.6 Legal basis
GDPR Art. 6.1 (a) together with your consent allows us to send you IKEA News by e-mail. You can withdraw your consent at any time and unsubscribe from IKEA News by e-mail such as by clicking on the corresponding unsubscribe link at the end of each e-mail.
5.4.7 Data processing
We’ll be processing your IKEA customer profile data and online shopping history, any IKEA competitions and IKEA store events you have taken part in, any e-mail newsletters you have received from IKEA, IKEA services you have used (see sections 5.8 to 5.18), any communications with us, any interests you have shared with us through clicks, product searches on ikea.de, and advertising banners you have clicked on third-party websites. We’ll be processing the data for our own statistical purposes in improving our online presentation and making our products and services even more attractive, forming customer groups, and creating general and/or customer group-specific special offers to display to you on third-party websites and in social media.
5.4.8 Legal basis
We’ll be processing your data according to GDPR Art. 6.1 (b) as we will need the data to fulfil our agreement for your IKEA online shopping profile and especially towards optimising your online shopping experience. We will erase your IKEA online shopping profile and the data it contains after two years of inactivity on your part, if you delete your profile yourself, or ask us to delete the profile unless applicable law allows or requires us to retain your data for a longer period. Inactivity means not logging into your user profile.
You are free to create an IKEA online shopping profile or not; you may also make purchases as a guest using the IKEA Shop Online service without creating an IKEA online shopping profile. Refer to 5.2 in this case.
5.5 Your IKEA Family profile
5.5.1 Profile data
Just register for an IKEA Family profile to join IKEA Family and request your IKEA Family card as well as post from IKEA Family.
We refer you to our IKEA Family Terms and Conditions will apply, giving you the opportunity to familiarise yourself with them.We’ll ask you for your first and last name, postal and e-mail address, and your date of birth – you’ll need to be an adult to join IKEA Family – unless we already have this information from your IKEA online shopping profile.
5.5.2 Log in
Your identity will be verified every time you log in, and you will only need to provide your e-mail address or phone number and password or one-time code to register. Make sure you keep your password secret to prevent misuse; it is also in your own interests to keep your data up to date. You will be responsible for all procedures initiated using your user-name within your sphere of responsibility.
5.5.3 Data Processing
We will need to process this data (beyond the purposes named in 5.4) to identify you as a person for queries, send you your IKEA Family post, and contact you by post or e-mail about your IKEA Family membership.
Like your IKEA online shopping profile, your IKEA Family profile gives you access to your plans, shopping lists, wish lists, and online shopping history (order overview), and your checkout receipts limited to the last five years for you to print out if you wish. We will notify you by e-mail that you can continue or complete any product search, plan, or order in the IKEA online shop that you have interrupted or cancelled. You can also register for IKEA events in your IKEA Family profile; we’ll then contact you by e-mail about your registration with the event and record your participation in the event in your IKEA Family profile.
5.5.4 Legal basis
We’ll be processing your data according to GDPR Art. 6.1 (b) as we will need the data to fulfil our obligations arising from your IKEA Family membership.
5.5.5 Reservation of bargain items
You can also sign up to reserve bargain items at IKEA in your IKEA Family profile and reserve these products for pickup at an IKEA location of your choosing for up to 48 hours; after that, we’ll contact you about your reservation by e-mail.
We’ll be processing your data according to GDPR Art. 6.1 (b) as we will need the data to fulfil our obligations arising from your IKEA Family membership.
5.5.6 IKEA Family news by e-mail
You can also agree to receive news from IKEA Family by e-mail. IKEA Family News by e-mail includes:
- E-mails with special information, offers, and promotions for IKEA Family members as well as any that match your purchases using your IKEA Family card.
- You will receive a maximum of two e-mails a year asking you for feedback and reviews for products you have purchased from IKEA (see also 5.13 for product reviews).
Agreeing to receive our IKEA Family News by e-mail allows us to analyse whether and what you read or click on while reading your IKEA Family News to make it even more attractive for you and to create customer groups as well as special offers for these groups. GDPR Art. 6.1 (a) together with your consent allows us to send you IKEA Family News by e-mail. You can withdraw your consent at any time and unsubscribe from IKEA Family News by e-mail such as by clicking on the corresponding unsubscribe link at the end of each e-mail.
5.5.7 Birthday of your children
You can also enter the month and year of birth of your children (as long as they haven’t reached adult age) if you wish to. If you choose to do so, we’ll send you an e-mail with birthday greetings and a gift token to the e-mail address you have given us in your kids’ respective month of birth. We will erase your children’s data once they’ve reached adult age.
GDPR Art. 6.1 (b) allows us to process your children’s data as necessary to fulfil our obligations according to your request for us to send birthday e-mails and gift tokens for your underage children. GDPR Art. 6.1 (f) also applies in balancing interests based on our vested interest in sending birthday greetings and a gift token for your children on their birthday.
5.5.8 Competitions
As an IKEA Family member, you can also take part in competitions designed exclusively for IKEA Family members. If you decide to take part in one of these competitions, we will need to collect, store, and process your card number as well as other information depending on the competition such as your name, postal and e-mail address, and phone number to manage the competition and contact you about the competition.
We’ll be processing your data according to GDPR Art. 6.1 (b) as we will need the data to fulfil our obligations arising from your IKEA Family membership. We will delete your competition-related data three months after the end of the competition unless we are entitled to process certain items from your data beyond the end of the competition in connection with your IKEA Family membership.
5.5.9 IKEA Family loyalty bonus
We’ll be processing your IKEA Family customer profile data, data on your purchase (card number, IKEA store, receipt number, purchase date, time, item descriptions, quantities, and prices, invoice amount), any IKEA e-mail newsletter you are subscribed to, promotions you might have taken part in to collect points – IKEA Family membership, any upgrades from IKEA customer profile for online shopping to IKEA Family customer profile, your IKEA Family customer profile logins, any plans and wish lists you have saved, registration-only IKEA store benefits you have registered for – to manage your IKEA Family loyalty bonus; that is, to calculate your points, allocate them to you, and e-mail you about your points. If you return an item you previously purchased and received points for, we’ll need to link the return to your IKEA Family customer profile to deduct the points for the returned item. Remember that you will only receive points for purchases and promotions while logged in or otherwise identified as an IKEA Family member. Refer to www.ikea.de/family for more information on the points you have earned for purchases and promotions as well as coupons you can redeem your points with.
We’ll be processing your data according to GDPR Art. 6.1 (b) as we will need the data to fulfil our obligations arising from your IKEA Family membership.
5.5.10 Data processing
We process your data described in the above paragraph regarding the loyalty bonus, your use of IKEA services (see sections 5.10 to 5.18), your communication with us, your interests (which means your click behavior on ikea.de including product searches on ikea.de and clicking on IKEA advertising banners on third-party sites) for our own statistical purposes, to improve our online presence as well as our products and services, including the IKEA loyalty bonus for IKEA Family members, to make them even more attractive, to form customer groups, and to create general, customer group-specific, and/or individual offers for you and to display these for you also on third-party websites and social media.
For displaying personalized advertising suitable for you on third-party websites and social media, we transmit your email address in hashed, i.e., pseudonymized form to our partners Google and Facebook. If you are logged in with these companies and have consented to personalized advertising, personalized advertising will be displayed to you on third-party websites and social media in the event of a positive match of the hashed email address.
We also transmit your email address in hashed, i.e., pseudonymized form to our partners Google and Facebook so that they can form similar customer groups ("look-a-likes") to display suitable and relevant advertising to these customer groups on social media. After the respective match, the hashed email addresses are deleted by the data recipients.
Insofar as data is transferred to the USA in this context, this is based on Art. 45 (1), 45 (3) sentence 1 GDPR and the EU-US Data Privacy Framework. You can unsubscribe from these forms of advertising on third-party websites and social media at any time in your IKEA Family customer profile under settings via the "Edit" button.
The legal basis for the data processing associated with this is Art. 6 (1) b) GDPR, i.e., the processing of your data is necessary for the fulfillment of our obligations in connection with your IKEA Family membership. This includes providing all the benefits of the IKEA Family described in the IKEA Family participation terms and in section 5.5 of this privacy policy, including their optimal design and the display of personalized advertising and customer group advertising.
5.5.11 Credit check by Ratepay
If you use of our Ratepay payment option for purchase on account in connection with your IKEA Family membership, we‘ll also need to transmit some of your data – your IKEA Family card number and sales volume from the last two years – to Ratepay for Ratepay to include in its risk analysis and credit check for purchase on account with a credit limit suitable for regular customers and increased acceptance rate, which Ratepay refers to as its Regular Customer Concept. Refer to the Ratepay privacy policy at https://www.ratepay.com/datenschutz/ for details on how Ratepay processes your data.
We will need to transmit your data to Ratepay for risk analysis and credit checks that Ratepay will need to carry out if you select the Ratepay purchase on account payment option. GDPR Art. 6.1 (f) allows us to transmit your data to Ratepay in balancing interests based on our vested interest in being able to offer you, as a member of IKEA Family, purchase on account with Ratepay as a payment option in a particularly attractive form with the highest possible payment limit in an effective and secure manner, and also specifically to prevent fraud in this case.
5.5.12 Virtualisation by IKEA Kreativ
You can also use the IKEA customer app to access IKEA Kreativ virtualisation options as long as you are logged into your IKEA Family profile. IKEA Kreativ lets you scan your rooms using your device’s camera, upload the scans, and insert, move, and remove IKEA furniture and furnishings in the scanned views. You can also move or remove existing furniture to try out countless design ideas. We will need to process your e-mail address, the photos you take, and when and how you’ve used IKEA Kreativ.
We’ll be processing your data according to GDPR Art. 6.1 (b) as we will need the data to fulfil our obligations arising from your use of IKEA Kreativ in your IKEA Family membership. We will erase the data for any room designs you’ve tried out if you don’t save them within thirty days. If you save these designs in the IKEA customer app, we’ll ask you whether you want to keep them after two years and delete them after another twenty-one days unless you ask us not to, or unless applicable law allows or requires us to keep the data for longer.
5.5.13 Product review
If you are a member of IKEA Family and logged into your IKEA Family customer profile, you have the opportunity to rate IKEA products at any time using our online product review tool ("PB-Tool").
The terms of use for customer reviews of IKEA products, available at https://www.ikea.com/de/en/customer-service/nutzungsbedingungen-fuer-kundenbewertungen-von-ikea-produkten-pub6b077f30, apply to the use of the PB-Tool. We publish your product review with your first name in our German online shop as well as in our online shops in other countries. This does not allow for any personal identification of you.
For our PB-Tool, we collaborate with the provider Yotpo, Inc., 400 Lafayette St. Fl. #4, New York, NY 10003, USA ("Yotpo"), and transmit your first and last name, email address, and the reviewed product with price and purchase date to Yotpo when you submit your review, so that Yotpo can provide you with all the functionalities of the review tool.

As an IKEA Family member, you will receive a 20% discount if you charge your electric car at the charging stations of our partner, Mer Germany Gmbh (‘Mer’), which are located at our stores, using your IKEA Family membership number. For this purpose, IKEA will transmit your IKEA Family membership number to Mer once so that Mer can make a comparison and grant you the price advantage when you register with Mer using your IKEA Family membership number. We will also receive your IKEA Family membership number from Mer with the charging date and kWh charged. This enables us to identify you and check whether you have made a purchase in the respective store on that day and for what value. 5.6.1 Profil data
You may also use our IKEA online shopping services with an IKEA Business Network profile for online shopping (referred to in the following as an IKEA Business Network online shopping profile). You’ll need to enter your first and last name, e-mail address, company name with legal form and a password to create an IKEA Business Network online shopping profile; you can also enter a mobile phone number, your birthday, and your gender if you wish. Your IKEA Business Network online shopping profile can also include a billing address, delivery address, your preferred IKEA store, your company’s specialisation, year of establishment, and number of employees.
5.6.2 Login
The profile owner’s identity will be verified at every login, only requiring an e-mail address or phone number and password or one-time code to register. As a profile owner, you are responsible for keeping your password secret to prevent misuse and your data up to date in your own interests. Profile owners are responsible for all procedures initiated using their username within their sphere of responsibility.
5.6.3 Data Processing
On concluding an agreement with us on an IKEA Business Network online shopping profile, we’ll process the data to save plans, shopping lists, and online shopping history (order overview), make the ordering process more simple and convenient, and fulfil your purchase orders and any delivery agreements according to 5.2, including sending invoices by e-mail.
An IKEA Business Network online shopping profile will also allow access to plans, shopping lists, and online shopping history (order overview) for the last five years to be printed out if required. We’ll send an e-mail presenting the option to continue or complete any product search, plan, or order in the IKEA online shop previously interrupted or cancelled.

We’ll be processing your data according to GDPR Art. 6.1 (b) as we will need the data to fulfil our agreement for your IKEA Business Network online shopping profile and especially towards optimising your online shopping experience.
5.6.7 Data Deletion
We will erase your IKEA Business Network online shopping profile and the data it contains after two years of inactivity, if you delete your profile yourself, or ask us to delete the profile unless statutory regulations allow or require us to keep your data for longer. Inactivity means not logging into your user profile.
Creating an IKEA Business Network online shopping profile for online shopping is voluntary. You can also make online purchases as a guest without creating an IKEA Business Network online shopping profile. Refer to 5.2 in this case.
5.7 IKEA Business Network profile
5.7.1 Log in
You can upgrade your IKEA Business Network online shopping profile to a full IKEA Business Network profile to join IKEA Business Network and benefit from an IKEA Business Network card and post from IKEA Business Network. All you have to do is accept the terms and conditions for an IKEA Business Network profile.
The profile owner’s identity will be verified at every login, only requiring an e-mail address or phone number and password or one-time code to register. Note that you are responsible for keeping your password secret to prevent misuse. As a profile owner, you are also responsible for keeping your data up to date in your own interests. We will process the data provided (beyond the purposes set out in Section 5.6) for unique profile owner identification in handling queries, sending IKEA Business Network post, and postal and e-mail contact regarding an IKEA Business Network profile.
Like the IKEA Business Network online shopping profile, IKEA Business Network profile gives you access to plans, shopping lists, and your online shopping history (order overview). You can also view copies of invoices limited to the last five years and print them out if you wish. We’ll send an e-mail presenting the option to continue or complete any product search, plan, or order in the IKEA online shop previously interrupted or cancelled. Finally, you can use your IKEA Business Network profile to register for any IKEA events that may be taking place; we’ll then contact you about your attendance at the event by e-mail and record your participation in the event in your IKEA Business Network profile.

5.7.6 Belöna points
IKEA Business Network profile owners and IKEA Business Network members benefit from collecting Belöna points on every purchase using a IKEA Business Network customer profile number depending on the invoiced amount. These points will be credited to the respective IKEA Business Network profile for redemption against IKEA promotion cards. We will delete your IKEA Business Network profile data (name, company name, postal and e-mail address) if you have remained inactive for five years at the latest and do not expressly confirm your wish to keep your IKEA Business Network customer profile on our enquiry, if you delete your IKEA Business Network profile, or request deletion of the data in your IKEA Business Network profile unless applicable law allows or requires us to store the data for longer. 5.8.1 Data processing
We invite all businesses to set up an IKEA for Business account for purchasing on account with IKEA and using the corresponding account for cashless purchases at home or at work within the card limit we have set.
We will process your company name and address details as well as the applicant’s first and last name, e-mail address, and phone number or numbers. We will need to process the data in order to set up an IKEA for Business account for purchasing on account and processing all purchases made using the customer account.
5.8.2 Legal Basis
GDPR Art. 6.1 (b) allows us to process the data entered as necessary to fulfil the respective agreement between IKEA and business owner, applicant, and any authorised purchasers on the provision and use of an IKEA for Business account for purchasing on account and processing all the purchases made using this customer account. GDPR Art. 6.1 (f) also allows data processing in this case, as processing your data also serves our vested interest in processing all purchases properly that have been made by the business owner, applicant or any authorised purchasers using a IKEA for Business account for purchasing on account.
5.9 IKEA for Business payment card
5.9.1 Data Processing
We also invite all businesses to apply for our IKEA for Business payment card and, once received, to use it for cashless purchases at IKEA (at home, at work or in the furniture store) within the card limit granted by us.
Here, we will process the name and address of your company, the first and last name of the applicant as well as e-mail address and phone number or numbers, any different e-mail addresses for invoice recipients and contact persons in accounting for inquiries, first and last names of all cardholders named by the applicant, and all persons authorised by a cardholder to make a purchase. We will need to process the data to issue personalised cards and process all the purchases made using the cards.
5.9.2 Legal Basis
GDPR Art. 6.1 (b) allows us to process the personal data entered as necessary to fulfil the respective agreement between IKEA and business owner, applicant, cardholder, and any authorised purchasers on the provision and use of an IKEA for Business payment card and processing all the purchases made using a payment card. GDPR Art. 6.1 (f) also allows data processing to serve our vested interests in personalising payment cards, making them available for use by all cardholders named by the applicant, and properly processing all the purchases the cardholders and any authorised purchasers make using the payment card.
5.9.3 Data deletion
We will delete all data processed in connection with your IKEA for Business payment card when you inform us that the card is no longer being used at the latest unless applicable law allows or requires us to retain your data for a longer period. The same applies if you inform us that the applicant and/or a cardholder and/or an authorised representative has left your company.5.10 Participation in IKEA competitions
If you agree to take part in an IKEA competition, we will collect, store, and process your name, postal and e-mail address, your phone number as applicable, and any other data such as photos or videos of yourself to conduct the competition and contact you about this competition.
We will delete your data immediately after the end of the competition unless our agreement on you taking part in the competition or the consent you have given us allows us to process items of data beyond the end of the competition.
We’ll be processing your data according to GDPR Art. 6.1 (b) to fulfil the agreement regarding your participation in the competition. GDPR 6.1 (a) also allows us to process your data when you have given us your consent to do so. You can revoke your consent at any time.
5.11 Other e-mail newsletters
GDPR Art. 6.1 (a) together with your consent allows us to process your data if you have agreed to receive other topic-specific e-mail newsletters from IKEA. You can revoke your consent for the future at any time such as by clicking the unsubscribe link at the end of every e-mail newsletter.
5.12 Notification services (product availability, picking list, IKEA planner)
We will need to process your e-mail address and/or mobile phone number in our product availability notification service to inform you when items you are interested in that are currently out of stock become available. We will always automatically delete your data forty-five days after you request our product availability notification service.
We will also need to process your e-mail address in our picking list service to e-mail you a list summarising all the items you have selected. We will automatically delete your data after that.
We will process the e-mail address or mobile phone number you have given us in our IKEA Planner service to send you your planning code by e-mail or phone. We will automatically delete your data after that.
We’ll be processing your data according to GDPR Art. 6.1 (b) to fulfil our agreement on the notification service you have requested.
5.13 Personal messages added to IKEA gift cards
You can add a personal message when you purchase an eGift card or create a wish list. We’ll ask you to give us your name or pseudonym and your e-mail address. We will need to process this data for clear identification if we have any queries and send the gift message with your name or pseudonym and message to the recipient.
We’ll be collecting your data according to GDPR Art. 6.1 (b) as we will need to process the data to fulfil our agreement on personal messages on gift cards. We’ll save your personal gift card message for two years before deleting it.
5.14 IKEA customer service
5.14.1 Data processing
We’ll need your name and choice of contact options – e-mail address, telephone number and/or postal address – and any further information connected to the issue at hand such as the purchase you made for our customer service staff to answer your enquiry or deal with any other request. We will only process the data you have submitted to us together with an enquiry or other request, in order to answer your enquiry and deal with your request as thoroughly as possible.
We may also use any mobile number you have provided on contacting us to send you a text when registered goods are available again or to let you know that your order or request has been updated.
5.4.2 Legal basis
We’ll be collecting your data according to GDPR Art. 6.1 (b) as we will need to process your data to fulfil the agreement on responding to your enquiry or dealing with your request.
5.14.3 Data deletion
We will erase the personal data we have collected for this purpose once we have dealt with your enquiry in full and do not expect this matter to come up again in the future, or no later than four months after our last contact concerning your enquiry unless applicable law allows or requires us to retain your data for a longer period. Note that we don’t have any influence on social media company policies and practices regarding data processing and retention if you contact us on social media channels.
5.14.4 Monitoring of customer calls
In addition, customer calls are occasionally monitored for training and educational purposes. We will inform you of this before the call and inform you that you can object to this monitoring at the beginning of the call.
We’ll be monitoring your call according to GDPR Art. 6.1 (f) in balancing interests based on our interest in providing customer support employees with practical and customer-oriented training and ensuring high quality customer support.
Our service contractor IKEA Customer Support Service GmbH and Concentrix Holding Germany GmbH, Tullnaustraße 20, 90402 Nürnberg. Both contractors act as data processors on our behalf having concluded corresponding data processing contracts.
5.15 Spare parts orders
We provide a free spare parts order service for some of our products. We’ll need your name, postal and e-mail address, and phone number if you’d like to use this service and order free spare parts using our web form.
We’ll be collecting your data according to GDPR Art. 6.1 (b) as we will need to process the data to fulfil our agreement from our free spare parts order service.
We’ll be transmitting your data to IKEA Components AB, Södra Ringvägen 4, 34334 Älmhult, Sweden for them to ship the spare parts to you.
We’ll be processing your data according to GDPR Art. 6.1 (f) in balancing interests based on our interest in IKEA Components AB managing free spare parts delivery using the corresponding service in a consistent and rational way.
We’ll erase your data fifteen days after your order.
5.16 Booking an appointment
Depending on local conditions and circumstances, we provide a variety of options for arranging a specific time slot to visit one of our IKEA stores, plan a product category such as a bedroom, living room, bathroom, or kitchen by e-mail or video chat, or for consultation at an IKEA store or by phone. Some booking options will involve you submitting data required for the specific appointment booking such as your first and last name, number of people, postal and e-mail address, and phone number. We’ll only ever process this data to prepare your appointment, enable appointment rescheduling, cancel and arrange a new appointment if necessary, and hold the appointment within the specified time slot.
We’ll be collecting your data required according to GDPR Art. 6.1 (b) as we will need to process your data to fulfil the agreement on using the respective booking tool.
We’ll erase your data after your planning or consultation appointment unless other reasons justify continued processing, such as an order you have made or a repeat contact that you have requested or agreed to.
5.17 TaskRabbit assembly service
The sole controller responsible for processing your data when you use the TaskRabbit assembly service is TaskRabbit, Inc., 425 Second Street, 5th Floor, San Francisco, CA 94197, USA.
We will only pass on your purchase data, including your e-mail address and postcode, to TaskRabbit based on your consent for booking TaskRabbit assembly services. Depending on the booking process, you will need to declare your consent directly to TaskRabbit or to us acting as a receiving agent for TaskRabbit; you may revoke this consent at any time for the future such as by sending an informal e-mail to [email protected].
We’ll be acting as a data processor for TaskRabbit in sharing of your data and acting on instructions from TaskRabbit. Refer to taskrabbit.de/datenschutz for the TaskRabbit privacy policy.
5.18 Online chat feature
The IKEA chatbot can assist you with general inquiries and also automatically respond to requests about your order status. The chatbot generally does not process personal data, however, it may ask you to provide your order data (e.g. order number, telephone number) in order to answer your question. If you choose to connect with a customer service representative, this person will handle your inquiry or fulfill your requests in the chat. For such processing of your inquiry or order status, you must submit your first and surname, your email address and your order number where necessary. Upon conclusion, a transcript of the chat will be sent to your email address.
We’ll be collecting your data for this purpose according to GDPR Art. 6.1 (b) as we will need to process the data to fulfil our agreement on using the online chat feature.
The chat communication will be stored for 4 months and will be anonymised immediately after the online chat session.
To provide the chat function, we use the services of the cloud service provider Syndeo Cloud CX, Syndeo House, 299 Ormeau Road, Belfast, BT7 3GG, Nordirland. The Data storage takes place in Ireland, where all data is deleted after seven days. We also use the service provider Genesys Cloud CX of Genesys Cloud Services Germany GmbH, c/o Design Offices, Wiesenhüttenplatz 25, 60329 Frankfurt am Main. The data storage takes place within the EU and the data is deleted after six months.
Furthermore, we use the translation service of Intento, Inc., 2261 Market Street #4273 San Francisco, CA 94114, USA. Intento deletes all data within one hour after the translation.
Insofar as your data listed above is transferred to Intento, Inc. in the USA in this context, this data transfer is based on Art. 45 para. 1, 45 para. 3 sentence 1 GDPR and the EU-US data protection framework (“Data Privacy Framework”). 7. IKEA protects your data.

8. Data transmission to third parties or third countries
All data processing companies we send personal data or access to the data to are required to undertake to maintain data confidentiality and comply with the necessary organisational and technical data protection requirements in addition to concluding a data processing agreement. We at IKEA review each case before contract begin and at regular intervals after that to make sure they fulfil their obligations in practice and keep your data protected at all times.
We or our data processors will transmit personal data or grant access to data to recipient companies in third countries – especially contract processors – in order to provide our services. In these cases, we ensure that appropriate safeguards are in place and adhered to according to GDPR Art. 46.2, 46.3, and Art. 47. We will also only proceed with this step subject to a favourable Transfer Impact Assessment result.
The EU Commission passed an adequacy decision on an EU-US data protection framework on 10 July 2023. This has determined that the US ensures adequate protection standards comparable to EU data protection for personal data transmitted from the EU to US companies. We’ll therefore be transmitting your data to US-based companies certified under the EU-US data protection framework according to GDPR Art. 45.1 and 45.3, first sentence.
9. IKEA will only store your data for as long as we need to.
